Housing response systems often struggle with fragmented visibility into their resources. Inventory lives outside the system; on whiteboards, in spreadsheets, in someone’s head. Coordinated Entry operates in parallel. Updates happen manually. Availability is often outdated by the time it’s shared.

The consequences are real:

  • Units sitting empty despite demand
  • Utilization rates that don’t tell the full story
  • Referral patterns shaped more by relationships than transparency

Without a shared, accurate source of truth, it becomes nearly impossible to identify available resources or expedite placements. This roundtable explores how communities moved beyond that fragmentation, and what happened when inventory became visible system-wide.

During this 75-minute conversation, panelists will walk through the journey their communities experienced.

We’ll start with what “the old way” looked like:

  • Inventory tracked outside of HMIS
  • Vacancy-to-housing processes slowed by manual coordination
  • Silos between programs and Coordinated Entry
  • Hidden units discovered only during deep audits
  • Perceived eligibility rules shaping access

Then we’ll explore what it took to build a foundation for shared visibility.

Cataloguing every building, unit, and bed. Working closely with providers to define what “accurate” really means. Uncovering unreported capacity. Aligning stakeholders around a single source of truth. It wasn’t just a technical lift. It was a cultural shift. And once that shift happened, the impact extended far beyond compliance.

When inventory moved inside the HMIS ecosystem, something changed. Coordinated Entry could see live availability. Staff in the field could match clients immediately.
